Your information and your stay

Kubra Solutions Ltd, trading as Kubra Homes, is responsible for your information. Contact hello@kubrahomes.com with a privacy question or request.

We use your information to arrange and manage your booking, process payments, complete pre-arrival checks, answer questions and protect your booking. Accepting booking terms does not sign you up for marketing.

Company number: 15636583. Registered office: Henleaze House Business Centre, 13 Harbury Road, Henleaze, Bristol, BS9 4PN.

What information is used?

When you book, the website collects your name, email address, home, dates, guest numbers and stay type. You can also give a phone number and a request. It records your accepted terms version, booking references and reservation/payment status.

If you ask for help, we use your message, contact details and any stay or company details you provide to respond. Do not include card details or identity documents in a general enquiry.

You enter your card details on Stripe's payment page, not in the Kubra booking form. Your secure check-in link opens the separate guest service for pre-arrival details, identity checks and damage-deposit arrangements. You accept the Website booking terms at checkout; the website records that acceptance with your booking.

We also receive payment and reservation updates from Stripe and Smoobu, and check-in progress from ChargeAutomation. Security records help protect access to your booking. We do not ask you to send card details or ID in a help message.

We need your name, contact email, home, dates and guest numbers to arrange your booking. Without the required details, we cannot complete it. A phone number and special request are optional. Required pre-arrival steps are shown in your secure check-in link; contact us if you cannot complete them.

Why is it used?

For information needed to arrange and provide your own stay, our legal basis is contract: taking the steps you request before booking and providing the stay you book. For proportionate booking-security and fraud-prevention checks, the basis is legitimate interests: protecting bookings and the service, while considering your privacy and using only information needed for that task. Records required by a specific law are kept under legal obligation. These bases do not make every optional field or identity method automatically necessary.

We also use legitimate interests to answer general enquiries, handle problems with a stay and keep the service reliable, using only the information needed. The website checks price, availability and payment status automatically before confirming a booking. An unclear result is held for review, not treated as a confirmed stay. Contact us if you need help with a result.

Services that help provide your stay

We use Stripe for accommodation payments, Smoobu for reservations and calendars, ChargeAutomation for pre-arrival steps and deposit arrangements, Hostinger's mail service for website booking messages, and Namecheap for website hosting and booking-database records. Stripe also uses information for its own payment-security and legal responsibilities.

On property pages with a map, your browser automatically requests approximate-area tiles from OpenStreetMap's public tile service. That service receives information about the request, including your network address. Google Maps opens only if you choose the external map link. Website fonts are served from the Kubra site.

Some services process information outside the UK, including in Canada and the United States. Contact hello@kubrahomes.com for information about the safeguards that apply to your information or to request a copy.

How long we keep your information

We keep information only for as long as we need it for the reason it was collected, or to meet a legal requirement.

• Booking and payment records: necessary company accounting records are kept for six years from the end of the company financial year they relate to, or longer where accounting rules require it. This is not a six-year rule for every ID image, message or optional guest note.

• Enquiries: we keep your enquiry while answering it and dealing with related follow-up. Once it is closed, we review what is still needed and delete or anonymise information that no longer has a purpose.

• Messages, security records and disputes: relevant information is kept while needed to manage your stay, investigate a problem, resolve a claim or meet a legal duty. An open dispute is not a reason to keep unrelated information indefinitely.

• Identity checks: documents are handled through the secure check-in service, not the website booking database. Retention is limited to guest verification, booking security, unresolved issues or legal requirements. Contact us about access to or removal of these records.

Reviews include relevant copies held in email, with service providers and in backups. Deletion is not always immediate. Signing out or letting a security cookie expire does not delete booking records.

Our current PostHog plan provides one year of analytics-event retention. Turning browser analytics off does not automatically delete events already received.

Cookies and private booking access

The booking flow uses two types of security cookie:

• __Host-kubra_intake helps protect booking requests and find the same checkout in progress. It lasts up to two hours from its original issue time.

• __Host-kubra_phase1_[booking-id] protects access to one booking. A checkout session lasts up to two hours. Access from an emailed link lasts up to 15 minutes and can be shorter if the original link is close to expiry.

These cookies hold random security values, not your card details or a readable guest record. Emailed booking links are single-use and valid for up to 15 minutes. Signing out closes your booking session; it does not delete the booking record.

The website does not save booking-form drafts in your browser's local or session storage. Unsent fields may be lost on refresh. Stripe and the separate check-in service explain their own cookies and information use on their pages.

Optional booking analytics

We use PostHog’s EU service to understand which booking steps work well. If you choose Allow analytics, we save your choice and a random identifier in your browser. This lets us connect selected steps, such as searching, viewing a home and continuing to payment.

We send the step, general search/result categories and, where relevant, which home you viewed. We do not send your form answers, contact details, travel dates, booking reference, payment details or page addresses. We do not record your screen or automatically record every click. IP-address storage is disabled.

You can book without allowing analytics. Choose No thanks, or use Change analytics choice to turn it off later. This stops future browser analytics and removes the random identifier, while remembering your choice to keep analytics off. It does not remove events already received or delete your booking.

Your choice remains saved until you change it or clear your browser storage. The random identifier remains until you turn analytics off or clear that storage.

Booking and message totals

Separately, we send limited system observations to PostHog when a payment and reservation are verified, or our email service accepts a confirmation or check-in message. These use a system identifier, not your browser identifier, and contain no contact details, payment details, travel dates or booking reference.

These totals are separate from optional browser analytics. Our booking records remain the records used to manage your stay. An email being accepted by the sending service does not guarantee inbox delivery.

Your privacy rights

You can contact us to request access to your information, corrections or—where applicable—deletion or limits on its use. Some records may need to be kept to meet legal obligations. You can also raise a concern with the Information Commissioner’s Office.

Where the right applies, you can also ask for information you provided in a reusable format so you can move it to another service.

Your right to object: you can object to our use of your information based on legitimate interests. Tell us about your situation at hello@kubrahomes.com so we can consider your request.

You can contact the Information Commissioner's Office at ico.org.uk/make-a-complaint (https://ico.org.uk/make-a-complaint/). You do not have to contact us first to raise a concern with the regulator.
